- Set the reporting boundary first: decide which sites, operations and time period are included, so the waste and spill figures are built from one consistent scope.

- Set the reporting perimeter after a buy-in or sale
If a site or business line joins or leaves during the year, agree whether its waste is counted from the handover date or for the full period, and explain the cut-off used.
- Choose one waste naming system where local labels differ
When countries or sites use different waste categories, map them to a single internal grouping for the report and disclose the mapping so readers can see how like-for-like totals were built.
- Decide how to treat borderline operations
For shared facilities, contractors, or other near-boundary activities, state whether their waste sits inside or outside the report and describe the rule used to make that call.
- Fix the timing basis for the year-end total
If waste is logged when it leaves the site, when it is weighed, or when a vendor confirms receipt, pick one basis, apply it consistently, and say which timing drives the figure.
- Separate measured amounts from estimates
Where weighbridge tickets, invoices, or manifests are missing, use a stated estimation method, identify which figures are estimated, and explain the approach used to fill gaps.
- Round in a way that still reconciles
Set a rounding rule for tonnes and spill volumes, apply it consistently across sites and categories, and make sure the rounded parts still add back to the published total.
- Protect sensitive spill details without losing meaning
If naming a location or material would expose confidential or personal information, aggregate the detail to the highest level that still explains the event and note the reason for the reduced granularity.
